The Problem
A long-running SEO outreach campaign that had previously performed exceptionally well — earning positive responses and high-quality backlinks — suddenly showed warning signs: a 10% bounce rate and graylisting error messages from mail servers.
Using the same email sequence for an extended period caused mail servers to flag our emails as spam. We tested fixes on two campaigns simultaneously: the old damaged campaign (10% bounce rate) and a new campaign targeting the legal niche (fresh start).
7 Strategic Changes We Made
After consulting with Mailshake's support team, we implemented seven critical changes.
Enhanced Personalization
Added company name mentions alongside first name, plus industry-specific references. The more personalized the email, the less likely spam filters flag it.
Shortened Sequence (4 → 3 Emails)
Reduced from 4 follow-up emails to 3. Sending excessive follow-ups regardless of recipient engagement damages sender reputation.
Optimized Subject Lines via CoSchedule Analyzer
Applied the 80/20 rule: 80% of time on subject lines, 20% on body copy. Used CoSchedule's Email Headline Analyzer (target 60–70+) and Power Words Guide.
Simplified Email Content (50% Shorter)
Removed repetitive sections, shortened lengthy paragraphs, moved non-essentials to signature, and added niche-appropriate wit and humor — inspired by Jon Buchan's Charm Offensive templates.
Reduced Links (5 → 2)
Cut from 5 links (Twitter, LinkedIn, case study, podcast, website) to just 2 carefully selected relevant links. Too many links trigger spam filters even in legitimate outreach.
Streamlined Email Signature
Redesigned to be shorter, more scannable, mobile-friendly, and focused on only the essential information.
Dual Email Verification
Added Viola Norbert (Mailshake) as a second verification layer on top of existing Hunter.io checks — redundant verification significantly reduces hard bounces.
Results on Both Campaigns
Tests ran simultaneously on both campaigns for 2–3 weeks.
Fresh legal-niche campaign with all 7 improvements from day one achieved a steady 2% bounce rate — 80% better than the old campaign's original 10%.
Even the damaged campaign with compromised sender reputation recovered 50% in just 2–3 weeks — proving recovery is possible with the right fixes.
Both campaigns showed measurable improvement within 2–3 weeks of implementing the changes.

How to Find the Right Adjectives:
- Use the Random Word Generator tool
- For editors: Find adjectives that editors would be proud of (e.g., "Judicious" – highly relevant as most editors must be very judicious)
- Choose adjectives that are complimentary and relevant to their profession
- Avoid negative adjectives (e.g., "Jealous" ❌) or irrelevant ones (e.g., "Jazzy" ❌ unless for jazz magazine editors)
The Power of This Approach: The second line will appear in the email preview alongside the subject line, creating a one-two punch of personalization and flattery.
Idea #3 Action-Based Email Sequences
Current Limitation: Our sequences send all follow-ups regardless of recipient behavior.
Planned Improvement: Implement conditional logic where:
- Email #2 only sends to recipients who opened Email #1
- Email #3 only sends to recipients who clicked a link in previous emails
This prevents annoying uninterested prospects while maximizing engagement with interested leads.

Concept: Automatically generate images that include the recipient's:
